Job Description

Job Summary:

The Payroll Specialist will work closely with our HR and Finance teams to prepare and process US weekly payroll. This position will also assist with Quarterly Tax forms, manage, and monitor state legislation, payroll reconciliation state tax account registrations and year end process. The successful candidate will have high attention to detail, strong numeracy skills and proven experience administering and optimizing multiple payroll processes.

Primary Responsibilities:

Responsible for the day-to-day requirements of payroll including:

  • Maintaining payroll information for all US entities by collecting, preparing, and inputting payroll data for both salaried and hourly employees under different jurisdiction for full payroll cycle, including year-end processes.
  • Monitoring employee and employer federal and state income tax, SUI and social security obligations and remaining up to date on changing practices/legislation.
  • Coordinating activities with 3rd party payroll provider for payroll processing and additional services, including first-level escalation of issues/challenges.
  • Ensuring that employees are paid accurately and in a timely fashion while complying with all State laws and requirements.
  • Reviewing payroll data and calculations to ensure accuracy and completeness. Investigating and resolving root cause of any payroll discrepancies.
  • Preparing and filing year-end employee tax documents, quarterly and year-end reconciliations.
  • Assisting with the administration of employee benefit programs to ensure accurate deductions are applied (e.g., health benefits, 401K, etc.).
  • Calculating manual payments and initiating off-cycle payments, as required.
  • Responding in a timely manner to payroll-related questions and assisting with the resolution of issues.
  • Preparing regular and/or audit reports by compiling summaries of earnings, taxes, deductions, leaves, disabilities, and nontaxable wages.
  • Assisting with payroll journal entry report from payroll system and managing GL account.
  • Maintaining detailed records and documentation of payroll functions for audit purposes.
  • Continually striving to find efficiencies in the payroll process.

Job Qualifications:

  • 5+ years of payroll-related experience, ideally in a multi-jurisdictional environment.
  • APA/Payroll Org designation (Certified Payroll Professional), or equivalent.
  • Diploma/Degree in Business Administration, HR, or another relevant field.
  • Experience dealing with 3rd party payroll providers/outsourcers. Specific experience with Paychex/ADP Workforce Now.
  • Manufacturing experience is an asset.

  • Intermediate Microsoft Office Suite, including advanced Excel skills (e.g., VLOOKUP, pivot tables, data manipulation, and analysis).

  • Adaptable, critical thinker and problem solver.
  • Effective time management.
